4. Guide on How to Use PAIA and How to Obtain Access to the Guide
The Information Regulator has, in terms of section 10(1) of PAIA, updated and made available the revised Guide on how to use PAIA (“Guide”) to assist persons who wish to exercise any right contemplated in PAIA and POPIA.
The Guide explains, among other things, the purpose of PAIA and POPIA, how to make a request for access to records of a private body, the assistance available from the Information Regulator, applicable remedies, fees and the relevant PAIA regulations.
The Guide is available from the Information Regulator and is published in South Africa’s official languages. The Information Regulator also provides the prescribed forms required for making PAIA requests and complaints.

No other records are designated as automatically available under this section. Access to other records held by The Dent Man, where applicable, must be requested in accordance with PAIA and remains subject to the provisions and grounds for refusal contained in the Act.
6. Description of Records of The Dent Man Available in Accordance with Other Legislation

7. Description of the Subjects on Which The Dent Man Holds Records and Categories of Records Held on Each Subject

The inclusion of a category of record in this section does not mean that access to the record will automatically be granted. Access to records is subject to the requirements of PAIA and any applicable grounds for refusal.
8. Processing of Personal Information
8.1 Purpose of Processing Personal Information
The Dent Man processes personal information only where reasonably necessary and permitted by law for its business activities, including responding to enquiries; assessing vehicle damage and suitability for Paintless Dent Removal; preparing quotations; arranging appointments; providing and administering services; communicating with customers, dealerships, suppliers and service providers; maintaining customer, vehicle, repair and business records; processing payments and issuing invoices; meeting accounting, tax, VAT, insurance, legal and regulatory obligations; managing employment matters where applicable; protecting and administering its website, electronic communications and business systems; and dealing with complaints, queries, disputes and legal claims.
Vehicle photographs and videos may be processed for damage assessment, quotations, communication, repair records and other legitimate service purposes. They will not knowingly be used for advertising, website galleries or social-media marketing without permission or another lawful basis.
8.2 Description of the Categories of Data Subjects and the Information or Categories of Information Relating Thereto
- Customers and private clients
Names, telephone numbers, email addresses, location information provided for service purposes, vehicle make and model, damage photographs and videos, enquiries, quotations, invoices, payment records and related correspondence. - Dealership, panel shop and other business contacts
Names, business or organisation names, job titles or roles where applicable, telephone numbers, email addresses, vehicle and job information, service enquiries, quotations, invoices, payment or account records and related correspondence. - Suppliers, service providers and professional advisers

8.3 The Recipients or Categories of Recipients to Whom Personal Information May Be Supplied
The Dent Man does not sell personal information. Personal information may be supplied only where reasonably necessary, lawfully permitted or required, including to the following recipients or categories of recipients:
- Trusted service providers and operators
Limited personal information may be supplied to service providers that assist The Dent Man with website hosting, electronic communications, information technology, security, administration or other business-support functions, where reasonably necessary for them to provide those services. - Financial, accounting and tax-related recipients
Relevant information may be supplied to banks, accounting or bookkeeping service providers, SARS and other competent authorities where necessary for payments, accounting, tax, VAT or statutory compliance. - Insurance and professional advisers
Relevant information may be supplied to insurers, insurance intermediaries, legal advisers or other professional advisers where necessary for insurace matters, professional advice, disputes or legal claims.
8.4 Planned Transborder Flows of Personal Information
The Dent Man may use website hosting, electronic communications, cloud-based or other service providers whose systems may process, store or provide access to limited personal information outside the Republic of South Africa.
Where personal information is transferred outside South Africa, The Dent Man will take reasonable steps to ensure that the transfer complies with section 72 of POPIA and that an appropriate level of protection is provided as required by law.
The countries in which personal information may be processed or stored may vary according to the infrastructure used by the relevant service provider. The categories of information concerned may include contact details, enquiries and correspondence, website technical information, and other limited personal information processed through those services.
8.5 General Description of Information Security Measures
The Dent Man takes appropriate and reasonable technical and organisational measures, having regard to the nature of its business and the personal information processed, to protect personal information againt loss, damage, unauthorised destuction, unlawful access or unlawful processing.
Security measures implemented or maintained, where appropriate, include access controls and password protection; limiting access to personal information to persons who require it for legitimate business purposes; reasonable device, software and website security measures, software and system updates; appropriate backup and recovery measures; physical protection of records and devices; the use of reputable service providers where external systems or services are required; and reasonable measures for the secure retention and disposal of personal information.
The Dent Man will review and update its safeguards where reasonably necessary, taking into account foreseeable internal and external risks, changes in technology and the nature of the personal information processed.
9. Availability of the Manual
A copy of this manual is available:
- on The Dent Man’s website for public access;
- at The Dent Man’s principal place of business for public inspection during normal business hours;
- to any person upon request, electronically where appropriate, or in hard-copy form subject to any applicable fee; and
- to the Information Regulator upon request.
Any fee payable for a hard-copy reproduction of this Manual will be dealt with in accordance with PAIA and the applicable regulations and prescribed fee structure.

The head of The Dent Man will review and update this Manual on a regular basis and whenever material changes make an update necessary.
